Cancellation and Refund Policy

The free trial lasts 7 days, requires no credit card, and involves no charges. You can use the full system during the trial.

When the trial ends, you choose whether to subscribe. If you don't subscribe, you won't be charged. The trial simply ends.

You can cancel yourself, directly in the system, without calling anyone or speaking to a retention agent. Nothing is canceled until you confirm.

1. Log in to GeZap and open the My subscription menu.
2. Click Cancel subscription.
3. Review the summary: the date your access will end and, for an annual plan, the refund amount.
4. Confirm the cancellation.

After you confirm, your access continues until the date shown on screen before confirmation, and you won't be charged again.

Your data is kept for 60 calendar days after that date, the same period specified in the Terms of Use. During this time, you can resume your subscription without losing any information.

After this period, your data and files may be permanently deleted, and deletion cannot be undone. Tax documents and records that must be kept by law follow their own retention periods.

If you subscribed and changed your mind, you have 7 days from your first payment to cancel and receive a 100% refund. This applies to both monthly and annual plans.

To cancel during this period, follow the same steps in the system. How long it takes for the refund to appear on your statement depends on your card issuer.

You can cancel your monthly plan at any time, with no cancellation fees or lock-in.

Payments already made for the current period are non-refundable, except during the 7-day right-to-cancel period. Your access continues until the end of that period.

If you cancel your annual plan before the year ends, you receive a refund for the unused period. The calculation works as follows:

1. The months you've already used are recalculated at the plan's full monthly price, without the discount you received for paying for the year upfront.
2. That amount is deducted from the total you paid, leaving a balance.
3. We retain 10% of this balance as an operational fee for early cancellation. The rest is refunded to you.

A plan costs 100 per month, and you paid 1,000 for the year. You cancel after 3 months. The 3 months you used are worth 300 at the full price, leaving a balance of 700. We retain 10% of the balance (70) and refund 630.

These amounts are just an example. Your calculation depends on your plan, and the exact amount will appear on screen before you confirm.

If your renewal payment doesn't go through, you won't lose everything right away. The days are counted from the day GeZap records the payment as overdue:

• Day 1: We notify you that your payment didn't go through.
• Day 5: The AI receptionist is turned off.
• Day 10: Your account is suspended.
• Day 30: Your subscription is canceled automatically.

Add-ons and one-time packages are not automatically refundable.

• Recurring add-on: Cancel anytime. Your access continues until the end of the period you've already paid for, and your data is preserved.
• One-time package or unused add-on: If you request a refund within 7 days of purchase, our support team will refund the amount.
• Used credits are non-refundable.
• If you disable Forms or Clinical Documents, anything already signed or issued will be stored and restored when you reactivate them.

You can export your data anytime, including after canceling and during the 60-day retention period. We recommend exporting everything you want to keep before this period ends.
